In plain English: your trips, routes, income and expenses live on your phone. Backups go to your own Google Drive, which we cannot see. We do not keep your driving or financial data on any server of ours, and we never sell it. The only information that reaches us is your Google account’s email, name and profile photo, a notification token for your phone, and whether you have an active subscription.
Who we are
TrakMiles Pro, also known as TrakMiles (“TrakMiles Pro,” “TrakMiles,” “we,” “our,” or “us”), is an Android app for tracking business mileage, hours, revenue, expenses and taxes. This policy explains what the app collects, where it is kept, and the control you have over it.
What the app collects
Location and trips
- GPS points recorded during a drive, used to calculate distance and draw the route
- Start and end times, start and end addresses, and distance for each trip
- The purpose you give each trip (business or personal) and any title or notes you add
- When Auto mode is on, the app runs in the background so it can detect when a drive starts and stop recording when it ends. This is why the app asks for location access “all the time.” You can switch Auto mode off and start and stop trips yourself.
Vehicles
- The vehicles you add, and odometer readings you enter or that the app records
- If you use Vehicle Auto-Detect, the name and address of your car’s Bluetooth connection, so the app can tell which vehicle you are in
Business records you enter
- Revenue, tips and payors; expenses and categories; hours worked; and any receipt images you capture with the camera
Account information
- Your Google account email address, name and profile photo, when you sign in
- A notification token for your phone, so we can send you notifications about your account
- Your subscription status
Where your data is kept
On your phone. All trips, business records and reports are stored in the app’s private storage on your device. This data is not transmitted to any TrakMiles Pro server.
In your own Google Drive, if you turn on backup. Backups are written to your personal Google Drive account, using permission you grant and can revoke at any time. We have no access to your Google Drive.
Firebase — account and subscription only. We use Google Firebase to sign you in and to confirm your subscription. The only things stored there are your email address, name and profile photo from your Google account, a notification token for your phone, and your subscription information. No trips, locations, income or expenses are ever stored in Firebase.
How we use your email
We use your email address to sign you in, to manage your subscription, and occasionally to write to you about your account or about TrakMiles Pro — for example, to tell you about an important change or to ask how the app is working for you. We never send advertising for other companies, and we never give your email to anyone else. To stop hearing from us, reply to any email or write to support@trakmiles.com.
Backup and restore
- You choose manual backups, automatic backups, or both. Automatic backups can be set to run only on Wi-Fi.
- The app keeps your ten most recent backups in your Google Drive, so you can go back to an earlier copy.
- When you restore, you choose whether the backup replaces the data on your phone or is added to it.
- Backups stay in your Google Drive until you delete them. We never delete them, and uninstalling the app does not remove them.
Company Mode
Company Mode lets several people keep one shared set of books. It works without a central server: each member’s data syncs through Google Drive using their own Google account.
When you join a company, the entries you record for that company are shared with its other members, and theirs with you. That is the purpose of the feature, so only join companies whose members you want to see those records. You can leave a company at any time.
TrakMiles Pro Assistant
The Assistant answers questions about your own records — your hourly rate, dollars per mile, best day and so on. It works from the data already on your phone.
- On phones that support Google’s on-device AI (Gemini Nano), answers are generated on the device itself.
- On other phones, the Assistant uses built-in summary cards calculated on the device.
- If you ask a question by voice, Android’s speech recognition turns your speech into text. That service is provided by Google under Google’s own privacy policy.
Services we rely on
- Google Play services — location, and in-app subscriptions through Google Play Billing
- Google Sign-In — signing in
- Google Drive API — backups and Company Mode sync, to your own Drive
- Google Firebase — sign-in, account notifications and subscription status only
- Google Maps — displaying trip routes on a map
Each of these is operated by Google under its own privacy policy.
What we never do
- We do not sell, rent or trade your personal information.
- We do not share your trips, locations or financial records with advertisers or data brokers.
- We do not keep a copy of your driving or financial data — so there is nothing for us to sell, lose, or hand over.
How long data is kept
Records on your phone stay until you delete them. Uninstalling the app removes the data stored on your phone. Backups in your Google Drive remain until you delete them from Drive. Your Firebase account record is kept while your account is active and removed when you request account deletion.
Your controls
- View every trip and record in the app at any time
- Export your data to PDF or CSV — CSV export is always available, even without an active subscription
- Edit or delete individual trips, or all of your data
- Turn Auto mode, backup or Vehicle Auto-Detect off
- Revoke the app’s Google Drive access from your Google account settings
- Request deletion of your account record
Children
TrakMiles Pro is not intended for children under 13, and we do not knowingly collect information from them.
Security
Data on your phone is held in the app’s private storage, which other apps cannot read. Backups and Company Mode sync are protected by your Google account and Google Drive’s security.
Changes to this policy
If we change this policy, we will post the new version on this page and update the date below.
