Set Up Your Company in 7 Steps
Follow along with the animated walkthrough — tap any step to jump there.
What Are the Steps?
Company view lets a small operation run shared books without a third-party server: create the company, invite members, have them join, configure sync, then view combined reports, add entries for any member, and review trip routes. Each driver keeps their own records while the business sees the roll-up — which matters because the IRS expects mileage kept per vehicle and per driver even when the totals land on one return.
Manage Your Gig Team Without Third-Party Servers
TrakMiles Pro's Company View lets families and small teams merge their mileage, revenue, expenses, and hours into a single dashboard that rolls up to one profit and loss statement — without signing up for any third-party service. Everything syncs through your own Google Drive account, so your data stays under your control.
Create a company, invite members by email, and start seeing combined reports within minutes — the setup an operation needs to run like a real business.
Why a shared server is the wrong answer for a small crew
Most team accounting products put your books on someone else's server and charge per seat. For a two or three person operation that means paying a monthly fee per driver, handing over your records, and depending on a service staying in business. Company View works the other way round: each member keeps a full local database on their own device, and only the shared entries sync, through your own Google Drive account rather than ours.
What the I-R-S actually expects from a multi-driver operation
Mileage records have to be kept per vehicle, and a business running two or three cars needs to show which miles belong to which. That is where combined-total apps fall apart under questioning. In Company View every trip stays attached to the member who drove it and the vehicle they drove, while the business still sees one roll-up. The detail survives, and so does the summary.
Who this is built for
A husband and wife both delivering. A lawn care owner with two crews. A notary who subcontracts overflow signings. A small courier outfit running three vans. Operations too small to justify per-seat accounting software, but too complex to run out of one person's phone.
Every member keeps their own local database while shared data syncs automatically in the background — which is what keeps per-driver and per-vehicle records separable at tax time.

What is Company / Team View?
A shared mode where several people record into one set of books. Each member keeps their own entries and vehicles, and the company sees combined reports across everyone.
How do team members join?
You create the company and send invitations. Members accept from their own device and their entries begin syncing to the shared view.
Does my data go through a third-party server?
Sync runs between your devices rather than through an external service, which is the point of the design. Your records stay under your control.
Can I add an entry for another member?
Yes. From the company view you can record entries on behalf of any member, which is useful when a driver forgets or is not the one doing the books.
How does a team handle mileage records for taxes?
Each member's mileage stays attached to them and to the vehicle driven, and the combined reports roll up for the business. Per-vehicle records are what the IRS expects, and keeping them separate is what makes a multi-driver log defensible.
